Finding and viewing governance artifacts

You can find and view governance artifacts by searching, browsing, or following a related content link. Governance artifacts are organized and controlled by categories. The governance artifacts that you can find and view depend on which categories you have permission to view and your category collaborator role.

Required permissions

You must be a collaborator in a category to view its published artifacts in one of these ways:

You are represented by the All users group and the All users group is a collaborator in the category.
You are a listed collaborator in the category.

If your category collaborator role is Viewer, you can see published artifacts in that category. If your category collaborator role is Reviewer, Editor, Admin, or Owner, you can see both published and draft artifacts in that category. If your category collaborator role is a custom role, you can see published artifacts in that category. You might also see draft artifacts in that category if the custom role includes the permission to view draft artifacts.

Searching for governance artifacts

To find a governance artifact by searching for its name, description, tags, or other properties, use the global search field in the header. Type a search term and optionally set the search scope as Governance > All governance artifacts, or Governance and the artifact type. For more information on advanced global search options, see Searching for assets and artifacts across all spaces.

To browse a specific type of governance artifact, select the artifact type from the Governance menu. On the artifact type page, the artifacts are listed by state, and then alphabetically. You can search published artifacts or draft artifacts by artifact name. You can search for any number of characters, except you can't search for only a single special character. In that case, you must include more characters.

When browsing for published artifact types, you can use advanced filters to filter by a specific property. Custom properties are also available in the filters if they are marked searchable in global search. You can also find and view a specific artifact when you click its name from the related content list of a related governance artifact or catalog asset.

To view artifacts by category, select Governance > Categories from the main menu and then open the category.

Governance artifact properties

Each type of governance artifact has a main page that shows published and draft artifacts:

Published artifacts are listed on the Published tab. A published artifact can be active and ready for use. It is inactive if the specified effective date or time is expired or in the future.
Draft artifacts are listed on the Draft tab. Draft artifacts are inactive preliminary versions of artifacts that you can save as drafts or send for approval according to your workflow definition.

When you open an artifact, you can see this information in the General section on the Overview page:

To view relationships for the artifact, look at the Related artifact sections on the Overview page and the Related content page. Governance artifacts can have these types of relationships:

Associations with data assets in catalogs. Data assets can have assigned classifications, terms, and data classes. Data assets can be subject to policies and data protection rules.
Relationships with data quality definitions. Data quality definitions can have classifications, terms, and governance rules assigned. However, only business terms and governance rules have a Data quality definition section on their Related content page. This section has an entry for each container in which a data quality definition with this relationship lives.
Hierarchical relationships with the same type of artifact. For example, a classification or a data class can have a parent or dependent classifications or data classes. Terms can have type and part hierarchical relationships with other terms. Policies can have subpolicies.
Other relationships with the same type of artifact. For example, terms can be synonyms of other terms.
Relationships with other types of artifacts:
- Policies can be related to business terms and classifications. They are associated with subpolicies, data protection rules, and governance rules.
- Data protection rules are associated with the policies that use them.
- Governance rules are associated with the policies that use them. They can relate to other governance rules, classifications, business terms, and reference data.
- Classifications can be related to other classifications.
- Business terms, data classes, and classifications can be related to each other.
- Reference data can be related to reference data sets, business terms, and classifications. Reference data sets can be related to business terms.

Some artifact types have other sections specific to the artifact type. If custom properties or relationships are defined, you can view them in the Details section.

To view more information about the artifact, click the information icon get information icon . The About this artifact pane provides information on:

The steward who owns the artifact.
The effective dates.
Tags assigned to the artifact.
When the artifact was created and last modified.

To view the processing activities for the artifact, click the Activities icon (). The Activities pane provides information on:

Who created the artifact.
Which properties are modified.
The date or time of creation or update.
More information on modifications. Click See modifications or See details to open the Artifact modifications window.
The status of the artifact.
Comments that you add or modify to annotate your updates or specifications.
