Controlling access to an asset in a catalog

You can control access to a catalog asset with a combination of the privacy level and the members of the asset.

When you create an asset, you are the owner of it. Asset owners are not affected when data protection rules are enforced on the catalog.

You can set the privacy level when you create or edit an asset.

To change the access to an asset, from the catalog Browse page, click the asset name and then navigate to the Access tab.

Privacy settings and user abilities

Your ability to use or control an asset depends on your role in the catalog, the catalog's data protection rules, the privacy setting of the asset, and whether you are a member of the asset.

All privacy settings

These abilities apply to all privacy settings:

  • Any catalog collaborator who has the Admin role can perform any action on the asset.
  • The asset owner or asset members can change the owner of the asset, delete the asset, edit asset properties, change the asset members, and change the privacy setting.

The public setting

These abilities apply to the public setting:

  • All collaborators in the catalog can find the asset and see its properties.
  • All collaborators in the catalog who have the Editor or Admin roles can use the asset.

The private setting

These abilities apply to the private setting:

  • All asset members can find the asset and see its properties.
  • The asset owner, asset members, and all collaborators in the catalog who have the Admin role can use the asset.

If you mark a connection asset as private, only members of the connection asset can add the data assets that require the connection to a project.

Change the privacy setting

You must have the Admin role in the catalog or be an asset owner or member to change the privacy setting.

To change the privacy setting of an asset:

  1. Click the edit (edit icon) icon next to Privacy.
  2. Select the level and click Apply.

Add asset members

You must have the Admin role in the catalog or be an asset owner or asset member to add an asset member. Asset members are subject to the enforcement of data protection rules on the asset. Only users that have not been added to a catalog as part of a user group can be added as a member of an asset.

To add members to an asset:

  1. Click Add Members.
  2. Search for the names that you want to add. Asset members must be added as catalog collaborators. Adding user groups is not supported.
  3. Click Add.

Remove an asset member

You must have the Admin role in the catalog or be an asset owner or member to remove an asset member.

To remove a member from an asset, click the trash can icon next to the member name and then click Delete.

Change the asset owner

For public assets, you can change the owner if you are:

  • A catalog Admin
  • The asset owner
  • An asset member

For private assets, you must be the owner of the asset or a member of the asset with the Editor or Admin role to change the owner.

When you change the owner, the original owner is no longer a member of the asset.

To change the owner of an asset:

  1. Click the edit (edit icon) icon next to Asset owner.
  2. Choose a different owner from the asset members.
  3. Click Apply.

The new owner of the asset is no longer affected by the enforcement of data protection rules on the asset.
